People commonly assume event planners and venue coordinators are one in the same. However, these are two completely separate roles not to be confused and lumped into the same category. Let us explain…

Event Planners

An event planner manages the overall coordination and logistics of planning an event. This is a big job as the planner:

  • Manages the client’s budget as to not exceed expectations
  • Oversees time lines verifying things are completed according to schedule
  • Makes professional vendor recommendations
  • Assists with contract negotiation to secure the best pricing for the client
  • Keeps track of all planning details to ensure nothing is forgotten along the way
  • Serves as the point of contact for all enlisted participants, ensuring things running smoothly up to and during the event. 

Venue Coordinators

An event coordinator works closely with an event planner but deals primarily with anything pertaining only to the venue. For example, a venue coordinator:

  • Manages the paperwork necessary to book the venue and draw up the contract
  • Manages venue staff per the agreed upon arrangements dictated by the contract set up by the event planner
  • Participates in onsite inspections with the event planner 

Event coordinators do not manage any agreements and contracts arranged outside of the venue. It is not their responsibility to manage budget, timeline, or additional expectations other than making sure the facility where the event takes place is prepared accordingly to the arranged contract.
